Data ownership is the most important contract clause in clinic software. Vaidya OS treats your data as yours, before and after cancellation.
The cancellation timeline
| Day | What happens |
|---|---|
| Day 0 (cancel) | Subscription stops billing. Account moves to read-only. |
| Days 0-30 | Read-only access; CSV export available; can re-subscribe with full data. |
| Day 30 | Data permanently deleted from active databases. Backups deleted within 7 days. |
| Day 37 | Zero retention. No recovery possible. |
What you can export
- All patient records — name, phone, age, gender, condition tags.
- Full prescription history — date, medications, doses, advice.
- Visit logs — date, doctor, chief complaint, follow-up date.
- Appointment history — booked, completed, no-show.
- Custom fields and tags.
Format: CSV (Excel-compatible) and JSON (for migration to other tools).
What can't be exported
- Audit logs (kept for compliance retention; can be requested via support).
- Internal system metadata.
- Other clinics' data, even if you've collaborated.
Why we don't lock data
Clinic data is yours under DPDP Act 2023, full stop. Software vendors that try to hold data hostage face legal exposure and lose trust faster than they save on retention. The right thing for the patient and the doctor is full export rights, before and after.
