A patient finds your clinic on Google at 9 in the evening. They want to come tomorrow. Your phone is off, or it is busy with the last patients of the day. If your website shows only a phone number, most of them will say "I'll call tomorrow" and then forget, or book with the clinic that let them do it in one step.
Adding online booking to a clinic website is simpler than most doctors expect. You do not need a developer or a complicated calendar. This guide explains what online booking should do for a small clinic in India, three ways to add it, where to put the button, and what should happen after a patient books.

Why a phone number is not enough
For years the clinic phone was the only way in. It still matters, but on its own it loses bookings in predictable ways:
- After hours. Many people plan a doctor visit at night or early in the morning, when the clinic is closed.
- Busy line. During OPD hours your receptionist is registering patients and collecting payments. A caller who hears a busy tone often does not try again.
- Family bookings. Sons and daughters book for elderly parents, often from another city. A link they can open on their phone is easier than a call.
- Register errors. Bookings written on paper while answering the phone get lost, misspelt or double-counted.
Online booking does not replace the phone. It adds a second door for the patients who would not have called.
What online booking should do for a small clinic
- Work on a phone. Almost everyone will book from a mobile. Big buttons, few fields, fast to load.
- Need no account. Asking a patient to create a login is where most bookings are abandoned. Name and mobile number are enough.
- Fit how your OPD actually runs. Many Indian clinics run on tokens, not fixed 15-minute slots. Your booking should match that, not force a system you do not use.

How to add a "Book Appointment" button, step by step
- Get your booking link from your clinic software. Open it on your own phone first to check it shows your clinic name.
- Add a button on your website. On WordPress, add a Button block and paste the link. On Wix, Squarespace or similar builders, add a Button element and set its link. On a custom site, ask your developer to add a button to the header; it is a few minutes' work.
- Put it where patients look. In the header on every page, near the top of the home page, on the contact page, and next to each doctor's profile. On mobile, a button that stays at the bottom of the screen works well.
- Use plain words. "Book Appointment" or "Book a visit". If most of your patients read Hindi, add it in Hindi too. See why bilingual clinic websites convert better.

Share the same link everywhere
- Google Business Profile: add the link as your appointment link, so patients can book straight from Search and Maps.
- WhatsApp Business: put it in your profile and in a quick reply for "How do I book?"
- Instagram and Facebook: add it to your bio.
- In the clinic: a QR poster at reception and on the waiting-room wall, so today's patients can book their next visit themselves.
- On the prescription or visiting card: a short line such as "Book your next visit online" with the QR code.
What should happen after a patient books
For the patient: they should see clearly that the booking went through, which day it is for, and what to do next. Before the visit, a WhatsApp reminder the day before and on the morning of the visit.
For the clinic: the booking should appear in your list for that day without anyone typing it in, with a new patient record created if they are new. The doctor or front desk should get a notification. On the day, the patient is checked in like anyone else.

Common concerns
"My patients are older. They will not book online."
Many will not, and that is fine. They keep calling. But their children often book for them, and younger patients prefer a link. You are adding a door, not closing one.
"What if people book and do not come?"
Reminders make the biggest difference. Also watch which days no-shows cluster on, and ask first-time patients to confirm by reply.
"I need room for walk-ins and emergencies."
Online bookings should join the same queue as walk-ins, and you still decide the order in the clinic. Emergencies are seen first, as always.
"Is patient data safe?"
Ask any software provider where data is stored, who can see it, and whether you can export it. Keep the booking form to what you need: name, number and the day.
